Media Registration Agreement and Policy
Airports Council International-North America (ACI-NA) is pleased to welcome journalists to the 2025 ACI-NA & ACI World Annual General Assembly, Conference and Exhibition, which will be held in Toronto, ON from October 25 – 28, 2025 at the Metro Toronto Convention Centre.
Press registration allows qualified members of the media access to all general and concurrent sessions (but not to committee meetings, airport/airline meetings, and closed or ticketed events). The following media guidelines are designed to establish parameters for all media representatives in connection with their coverage of this event, protect the interests of ACI-NA members and speakers, and to help make your experience at the conference as enjoyable and productive as possible.
Media Registration
Advanced media registration is open and ends Friday, October 24, 2025. See below for registration criteria and guidelines. Media who have pre-registered may pick up their press credentials at the onsite registration area.
Criteria for Receiving Media Credentials
Complimentary registration for ACI-NA conferences is reserved for working members of the media, including print, broadcast and online media.
If you or your news organization does not have an established working relationship with ACI-NA, please email a description of your news outlet, including its frequency and any relevant URLs, along with a letter from an editor assigning you to our event to Ryan Madsen.
At its discretion, ACI-NA may also request writing samples as proof of coverage of the airport industry.
ACI-NA reserves the right to refuse media credentials for publications that cannot be verified or that it deems not substantive in reach or content.
ACI-NA reserves the right to revoke previously issued media credentials when appropriate.
Qualified media outlets must be represented by editorial staff, not advertising or marketing staff.
ACI-NA will not issue press badges to:
- Publishers, or a publication’s advertising, marketing, public relations, circulation or sales representatives;
- Public relations staff of member airports, member firms, exhibitors or academic institutions;
- Representatives of public relations firms;
- Writers creating analyses or reports sold as a commodity to customers;
- Family members of credentialed press; or
- Press not reporting on the meeting.
- Any such persons attending this conference must register as non-members and pay the appropriate non- member registration fee.
Press badges are available only to working press who can show evidence that their attendance is intended to result in coverage of the 2025 ACI-NA & ACI World Annual General Assembly, Conference and Exhibition in print, broadcast, or recognized Internet media. One media credential per media outlet or bureau is available to journalists who provide appropriate documentation, either in advance or on site.
Additional Guidelines
Camera staff – both still and video – must also have press credentials and these need to be worn at all times. (See further rules below on filming.)
Media must agree that information gathered at the conference will not be used in the development of any commercial materials or educational programs that may be sold.
Media must wear media credential badges supplied by ACI-NA at all times during the event. Media credentials are not transferable and may not be loaned to another person for any reason. Proof of identity may be requested to verify that the registered media representative is present at the conference.
Media may not distribute promotional materials of any kind (including copies of their publications) unless distributed from a booth purchased through the ACI-NA exhibition sales office. ACI-NA does not permit distribution of materials outside of your booth.
ACI-NA Photography and Video Guidelines
ACI-NA has exclusive pre-approval rights to photograph, film and/or broadcast all ACI-NA conferences. Any camera crews must be pre-approved by October 24, 2025, to film or broadcast the events.
The “real-time” transmission of streaming video, digital images, text-casting, and/or real-time audio of any conference session must be pre-approved by ACI-NA, and all technical arrangements must be worked out in advance.
All other video coverage, especially using lights, must be done in a manner so as not to disturb the proceedings or the attendees. You will need to work with the ACI-NA staff onsite for your filming locations and other logistics.
You will not be permitted to interview conference presenters 30 minutes prior to the session during which they will participate as speakers. Post-session interviews and press conferences may be held, at the discretion of ACI-NA and individual session speakers. Post-session interviews will be conducted in the designated media areas or other public areas.
If pre-arranged with ACI-NA’s communications representative, you may gain access to the venue to shoot pre-conference preparations or post-conference interviews in designated media areas.
Please be respectful of the needs of conference attendees when requesting an interview and remember that any conference presenters may decline an interview request. Repeated requests or harassment of an individual for an interview will result in forfeiture of your media credentials.
If you have been issued media credentials, you have a limited, non-exclusive, and non-transferable license to take and use photographs of the event, as well as photos made available of the event by ACI-NA, and you understand that such use does not imply an endorsement or sponsorship relationship between a third-party and ACI-NA or any conference speaker.
The photos you take during the event are your property. ACI-NA claims no right to use those photographs without your prior consent. ACI-NA has a right to view the photos taken during the event and may request a license agreement with you for use of any photo. Terms of the usage agreement are at the discretion of the photographer and/or media organization.
You understand that no commercial sale of images from the conference is permitted and that you will be required to indemnify fully ACI-NA for any breach of this agreement.
You understand that acceptance for media credentials does not guarantee access to all areas of the event and may not guarantee or provide admittance to all sessions of the event.
You agree to hold harmless and indemnify ACI-NA for any harm to any persons and property caused by your actions or omissions.
ACI-NA is not responsible for the loss, damage or destruction of any property used by you during your coverage of this event, unless caused by the negligent acts or omissions of its employees.
ACI-NA reserves the right to refuse media credentials to any individual at its discretion.
Members of the media covering the 2025 ACI-NA & ACI World Annual General Assembly, Conference and Exhibition are required to agree to these guidelines.
