Cancellations
Cancellations must be sent to meetings@airportscouncil.org no later than the date specified in the conference registration confirmation. Registration fees are refundable but subject to a $100 administrative fee. Refunds will be credited back to the original payment method within 14 business days.
No refunds or credits will be given for cancellations received after the date specified in the registration confirmation. After this date, ACI-NA has guaranteed attendance participation with event partners and venues. Non-payment or non-attendance does not constitute cancellation. Non-receipt of a confirmation registration before the event does not justify seeking a refund. Substitutions for the same event are honored at any time for confirmed, paid registrants with requests sent to meetings@airportscouncil.org.
ACI-NA reserves the right to cancel or reschedule the event due to unforeseen circumstances and will provide a full refund of the registration fees. Other costs incurred by the registrant, such as airfare or hotel penalties, are the responsibility of the registrant.
Registration
Conference registration includes access to all educational sessions and materials (unless noted), receptions, all food functions including breakfasts, lunches, and breaks as listed on the conference agenda.
Registration confirmation will be sent by email to fully paid conference attendees using the email address provided during registration. If you do not receive confirmation within 3 business days after submitting your registration, email meetings@airportscouncil.org.
Only individuals who register and present badges may attend conference events. A badge is required for all conference sessions and events. For security reasons, badge swapping is not permitted. Any violation of this policy may result in the removal from an event and the cancellation of the registration associated with the badge, without receiving a refund. In addition, ACI-NA reserves the right to deny registration for future events.
Guest Registration
When a guest registration is available for full conference attendees; guests cannot register independently; the attendee must register the guest. A guest is a spouse/significant other, friend, or adult child who is not attending for business or educational purposes. A co-worker or an associate within the industry may not use the guest registration. Guest registration includes attendance at all exhibition hall events, awards luncheons, and event receptions.
Student Registration
If an ACI-NA event has a full-time student registration option, the student must provide a copy of a current full-time student ID from an accredited educational institution prior to registering.
Attendee Rosters
ACI-NA attendee rosters are not to be harvested, sold to others, incorporated into any database, used to generate mailing lists, or employed for any promotional purpose.
Photo/Video/Attendee Data Disclaimer
By registering and attending any ACI-NA event, you agree that your name, attendee data, image, and any voice recording may be used at any time, without further notification, for marketing, educational, or other purposes in keeping with ACI-NA’s mission, in formats including but not limited to: printed materials, videos, podcasts, websites, or social media. In addition, you agree that ACI-NA may share your contact information or attendee data with other attendees, sponsors, or exhibitors.
Hotel Data Disclaimer
By registering and attending any ACI-NA event, you grant consent for the exchange of your contact details between ACI-NA and the designated hotel(s), exclusively for event-related purposes. The shared information, encompassing personally identifiable details such as registration, email addresses, and check-in/out information, will be treated confidentially. ACI-NA and the designated hotel will utilize this data solely for internal purposes related to the event.
Conflicting Events
ACI-NA prohibits any attendee or organization from holding any promotional, social, meetings, or educational events, during the official dates and times of an ACI-NA event without prior approval from ACI-NA.
Networking Events: ACI-NA prohibits any attendee or organization, from holding any networking events at official ACI-NA venues during the conference dates, regardless of whether the ACI-NA event occurs on a different day.
Registration Eligibility
ACI-NA events are intended for adults only, and no children under the age of 18 are permitted to register or attend without the prior written approval of ACI-NA. In addition, children under 18 must receive prior written authorization from ACI-NA to enter the exhibit show floor of an event and must always be accompanied by a parent or legal guardian while on the exhibit show floor.
Alcohol
Event venues with which ACI-NA contracts will not serve alcoholic beverages at the event to anyone under the age of 21. ACI-NA reserves the right to instruct any service provider of alcoholic beverages at an ACI-NA event to refuse service of alcohol to anyone who appears intoxicated if so observed.
Unauthorized Solicitation
ACI-NA strives to protect all event participants from solicitation from companies that do not have authorization by ACI-NA to do so at the event, commonly referred to in the exhibition industry as “suitcasing.” Any company or representative of a supplier who is not an exhibitor or sponsor and is observed to be soliciting business in the exhibit hall or at the event will be required to either pay that event’s prevailing exhibitor or sponsor fees as determined by ACI-NA or leave the event immediately without receiving a refund.
Health and Safety Information
In order to provide for the health and safety of all attendees and staff, ACI-NA adheres to the relevant guidance provided by national public health officials in the U.S. and Canada and follows the unique health requirements imposed by the provinces, states, and localities in which ACI-NA events take place. ACI-NA requests that anyone who has an infectious disease refrain from attending our meetings and that those who begin displaying such symptoms leave the meeting immediately.
Code of Conduct
ACI-NA is committed to providing a safe and welcoming environment for all meeting participants and staff. All participants, including but not limited to attendees, speakers, volunteers, exhibitors, staff, and service providers, are expected to abide by the ACI-NA Code of Conduct.
Attendee Release and Assumption of Risk
Attendees at ACI-NA meetings and events will be required to confirm agreement with the following Release and Assumption of Risk:
I hereby release, waive and forever discharge any and all liability, claims, and demands of whatever kind or nature against Airports Council International – North America and its affiliated partners and sponsors, including in each case, without limitation, their directors, officers, employees, and agents (“Released Parties”), either in law or in equity, to the fullest extent permissible by law, including but not limited to damages or losses caused by the negligence, fault or conduct of any kind on the part of the Released Parties, including but not limited to death, bodily injury, illness, economic loss or out of pocket expenses, or loss or damage to property, which I, my heirs, assignees, next of kin and/or legally appointed or designated representatives, may have or which may hereinafter accrue on my behalf, which arise or may hereafter arise from my participation in the conference or event.
I acknowledge and understand the following:
- Participation in the meeting or event includes possible exposure to and illness from infectious diseases. While particular rules and personal discipline may reduce this risk, the risk of serious illness and death does exist.
- I knowingly and freely assume all such risks related to illness and infectious diseases, even if arising from the negligence or fault of the Released Parties.
- I hereby knowingly assume the risk of injury, harm, and loss associated with the conference or event, including any injury, harm, or loss caused by the negligence, fault, or conduct of any kind on the part of the Released Parties.
Email Communication Policy
By registering for an ACI-NA event, you are providing permission to receive email communications related to the event, future ACI-NA events, and other ACI-NA email communications. If you do not wish to receive any further emails from ACI-NA, or to change your email preferences, please email memberservices@airportscouncil.org. Please allow up to 10 days to process your request.
Event and Meeting Policies Updates
ACI-NA reserves the right to modify or revise the event and meeting policies at any time, with or without notice.
