Responsible for assisting Project Manager in coordinating the activities of the Mobile Airport Authority’s construction projects to ensure cost, schedule, grant management, document control, safety and quality standards are met. Assistant Project Manager, or APM, will support the Airport Team with the management of capital projects from conception to completion. Under the direction of the Program Manager (PM), this role is expected to take on any/all tasks in the quest to learn all he/she can about construction. The ideal candidate would have 3-5 years of construction experience. A degree in construction management is also a plus.
Assist the Project Manager in all phases and aspects of the project. Provide support to Field Staff when needed. Follow the Mobile Airport Authority’s Best Practices. Ensure that proper tools are in place prior to the beginning of a project. Prepare and assist with ‘kick off’ meetings and review contracts to become familiar with the scope of work along with the terms & conditions. Distribute all short interval and overall project schedules. Ensure consultants & contractors have the most up to date scopes of work and deadlines. Assist PM in the development & maintaining the Airport overall project schedule. Possess the ability to review drawings and specifications to become completely familiar with the project and confirm long lead times with the critical path items. Assign contractor or consultant evaluations. If necessary, develop & maintain project submittal log and obtain designer’s approval. Manage said submittal log and ensure all submittals are processed promptly. Submittal logs are typically provided by the consultants or contractors. APM will also have access to internal accounting reports to assist with the management of costs and prepare accurate cost projections.
Ensure contracts, insurance, and bonds are current, received, and executed before the contractor or consultant performs any work on site. Follow up on collection of all non-received documents and escalate any issues to the PM. Assist with the preparation of project meeting agendas and associated attachments. Attend weekly project meetings and keep detailed meeting minutes for publishing to project team. Review project logs (RFI’s, Submittals, PCO’s) with PM on a weekly basis. Pursue and monitor submittals and track deliveries of materials. Verify all submittal conformity to plans & specifications. Collect daily reports, weekly project pictures and safety documentation. Review for completeness and include in project documentation. Inform PM of deficiencies. Collect and distribute coordination drawings from appropriate subcontractors and review with PM.
Follow-up as necessary to ensure timely completion of punch list work. Collect all required close out documents for certification. Maintain client relationships at the appropriate level reinforcing the Mobile Airport Authority’s commitment to continuously addressing their needs and interests. Work collaboratively with outside parties (i.e., the design team, etc.) to accomplish client goals. Complete other applicable duties as assigned by PM.
MATERIALS AND EQUIPMENT USED
Microsoft Office Suite including MS Projects, as well as Adobe Acrobat Pro, BlueBeam Revu, and SmartSheet.
Knowledge, Abilities and Skills
The ability to maintain an accurate record of construction supplies and review construction projects is required. Ability to understand project specifications and architectural documents. Must be organized, capable of efficiently processing forms, requisitions, purchase orders and performing administrative tasks. Must be well-versed in computer applications, i.e., MS Office including MS Projects, SmartSheet or similar data sharing software and BlueBeam Revu. Good typing skills and attention to detail. Ability to communicate both verbally and in writing in a professional manner.
Minimum Training and Experience
High school graduate required. A bachelor’s degree in construction management, engineering or a similar field is highly desirable for this position. Previous experience in a related role is needed as well. Industry and engineering certifications may be beneficial.
Generally, works in an office environment. Must be able to adapt to changing work environment.
