Major DC aviation trade association seeks a Manager of Conferences to join the Meetings and Conference team. Experience in overall management of the logistics and operation of meetings; including, but not limited to: site selection, hotel RFP and some contract negotiation, preparation of meetings budgets, food & beverage functions and meeting space set-ups, housing and management of room blocks, audio/visual, assisting with the development of promotional and registration materials, on-site management of all aspects of assigned meetings, post conference meeting duties, such as surveys, final bill reconciliation, and final rosters and hotel pick up performance. Some knowledge of webinars and virtual meetings, helpful but not required.
Must have the ability to successfully collaborate with internal and external stakeholders and staff, vendors and guests in a timely and responsive manner, provide marketing support, and handle some desktop publishing activities as required. Association holds 30+ meetings each year ranging from 1 1/2-day to multi-day conferences both in the U.S. and Canada.
Position will have direct responsibility for a minimum of 4 meetings annually with Manager will assist conference team and be responsible for management of different aspects of the annual conference and exhibition as assigned.
Able to work effectively in a fast paced environment where standards are high and information is processed expeditiously and efficiently. Must have excellent verbal and written communication skills; ability to multitask; be organized; have proven analytical skills and keen attention to accuracy and detail; have the ability to take initiative and work on multiple projects and conferences at one time; possess the ability to respond quickly to changing priorities while meeting deadlines. Must be able to work proactively and creatively; and manage time effectively in a deadline-oriented environment.
Requires outstanding interpersonal skills and the ability to work well with all levels of staff within the organization and communicate effectively and timely with internal program staff, association speakers, and membership.
Proficiency with Microsoft Office programs, and the knowledge of or ability to learn the following programs: iMIS, Informz, BadgePro. Experience using website based management systems, association databases and various forms of social media are a plus, ability to travel to manage onsite logistics for meetings and to the association annual meeting is required.
Education and Experience
Bachelor’s degree in business, communications, or hospitality/event management preferred or experience in an association environment or the hotel industry. Must have experience managing meetings independently, from start to finish.
